Track every shipment
Each order shows all its shipments, numbered when it travels in several parcels, with a link to the carrier’s tracking page and a progress bar from order received to delivered.
Invoices and credit notes
Download your invoice from the order as soon as payment is confirmed, and any credit note after a refund. All documents are in English.
Reorder in seconds
My products lists everything you have ordered before, with your last quantities and current prices. Or open a past order and add all its products to your cart in one click.
Bulk order
Upload a file or paste EAN codes with quantities, and we add the matching products to your cart. A blank template is available on the page.
Price list
Download our full price list as an Excel file, with EAN, brand, name, your price excluding VAT and stock, updated daily. Fill in the order quantity column and upload it as a bulk order.
Request a quote
Want to discuss larger quantities, availability or delivery first? Send your cart as a quote request at checkout instead of paying. You receive our quote by email with a payment link.
FAQ
Wholesale questions, answered
Practical information about ordering, payment, deliveries inside and outside the EU, and the products you order.
Ordering and accounts
Can small independent businesses buy from you?
Yes. Independent gyms, personal training studios, health stores and other business buyers are welcome to order. There is no application or approval process.
Our wholesale platform is exclusively for business purchases, not personal or household use. Businesses in the EU need a valid EU VAT number at checkout; businesses outside the EU enter their company details. Our minimum order value applies.
Do I need an account to order?
No. Wholesale prices are shown on the site, and you can place an order as a guest by entering your business details at checkout.
You may create an account during checkout or register separately. With an account you can track shipments, download invoices, reorder from My products, place bulk orders, download our price list and keep your company details saved.
What is the minimum order value?
The minimum order value is €250, excluding VAT and shipping. Your cart and checkout show how far you are from the minimum.
Any product-specific minimum quantities or case-pack requirements are shown before you place your order.
Do you offer an order discount?
Yes. Orders with a product subtotal over €500, excluding VAT and shipping, receive a 5% discount, applied automatically at checkout.
The €500 threshold is assessed before this discount. The discount applies to products, not the shipping fee, and is shown before payment.
For larger volumes, you can send us a quote request and we will review the prices product by product.
Can I get a quote before I order?
Yes. Add the products to your cart and choose Request a quote on the cart page. You then enter your details at checkout as usual and send the request instead of paying. Use the order notes to tell us about quantities, delivery or anything else you would like us to check.
We usually reply within one business day. Our quote arrives by email with a payment link and is also available in your account if you have one. It is valid for the period stated in it.
If shipping to your address cannot be calculated at checkout, checkout offers a quote request automatically and we include the shipping cost in our reply.
Can I order many products at once?
Yes. Under Bulk order in your account, upload a file or paste EAN codes with quantities. We match them against our catalogue and add the products to your cart, and show you anything we could not match.
You can also download our price list, fill in the order quantity column and upload the same file.
How do I reorder products I have bought before?
Open My products in your account. It lists everything you have ordered before, with when you last ordered it, how many and the current price. Fill in quantities, or fill in your last quantities in one click, and add everything to your cart.
You can also open any previous order and choose Add these products to cart.
Can I add my own purchase order number?
Yes. Enter it in Your order reference at checkout. It is printed on your invoice and included in your order emails.
Where can I find my invoices?
Your invoice is issued once payment is confirmed. With an account, download it from the order in My Account, together with any credit notes. If you ordered as a guest, email us with your order number for a copy.
Invoices show your company name, VAT number and order reference and, where no VAT is charged, the legal basis for the exemption. All invoices and credit notes are issued in English.
Payment and VAT
Which payment methods can I use?
Payments are processed securely through Mollie. Card payment is available for all delivery countries. Businesses in the EU can also pay by SEPA bank transfer, and eligible businesses may be offered Billie to pay later by invoice, subject to Billie’s approval and terms.
The methods available for your country and order are displayed at checkout.
Full payment must be confirmed before we process and dispatch your order, unless different arrangements have been agreed in writing. Bank transfers may take additional time to be received and confirmed.
Will VAT be charged on my order?
Prices exclude VAT unless stated otherwise. Enter your correct company details and VAT number at checkout so the appropriate tax treatment can be applied.
Qualifying intra-EU business supplies may be invoiced without VAT where all legal conditions are met. This depends on the transaction, including the dispatch and delivery locations and VAT verification.
A business account or VAT number alone does not guarantee VAT-free invoicing. You remain responsible for any acquisition VAT or other reporting required of your business.
Deliveries outside the EU are invoiced without EU VAT as exports where the conditions are met. Import VAT and duties in your country are paid by you on arrival. See Outside the EU.
Why was my VAT number not accepted?
EU VAT numbers are checked with the European Commission’s VIES system at checkout. Make sure you enter the number exactly as registered, for example with the country prefix (SE…, DE…, NL…), and that it is registered for intra-EU trade.
If you see “Error communicating with the VAT validation server”, VIES is temporarily unavailable rather than your number being wrong. If you are logged in and your VAT number was accepted on a recent paid order, you can still complete your order, and we check the number again once VIES is back. Otherwise, please try again a little later or email us.
Shipping, delivery and tracking
How much does shipping cost?
Within the EU, shipping is a flat rate of €9,90 per order, excluding applicable VAT. The fee covers the whole order, not each product or parcel. We do not charge extra when we split your order into separate shipments.
For deliveries outside the EU, FedEx shipping is calculated at checkout from the weight of your order and your address. See Outside the EU.
Where are orders shipped from, and which carriers do you use?
Orders may be dispatched from different European fulfilment locations, such as our warehouses in the Czech Republic and Poland, depending on where the products are stocked and the delivery destination.
Within the EU, we select a suitable carrier for each shipment, such as GLS, Packeta, InPost or another delivery partner. Deliveries outside the EU are sent with FedEx.
A particular warehouse, carrier or express service is not guaranteed unless agreed before we accept your order.
Why might my order arrive in separate parcels?
Products in the same order may be stocked in different locations. We may therefore send them in separate parcels, which can arrive on different days and through different carriers.
Shipping boxes and outer packaging may also vary. Each parcel has its own tracking number.
You do not need to place separate orders, and within the EU your total shipping fee remains €9,90 excluding applicable VAT.
How can I track my order?
Each shipment gets a tracking number after dispatch. With an account, open the order in My Account to see every shipment, numbered “1 of 2”, “2 of 2” and so on when there are several, each with a link to the carrier’s tracking page.
The order also shows where it is: received, being processed, packed, shipped or delivered. Tracking details may also be sent to you by email.
If you ordered as a guest, email us with your order number and we will send you the tracking details.
How long does processing and delivery take?
We normally aim to dispatch within 1–2 business days after receiving confirmed payment and completing any necessary checks, unless another timeframe is shown or agreed.
Within the EU, estimated transit time is 2–8 business days after dispatch, depending on the dispatch location, carrier and destination. For split orders, each shipment has its own dispatch and delivery timeline. Outside the EU, transit time depends on the FedEx service you choose and the destination.
These are estimates, not guaranteed delivery dates. Remote destinations, public holidays, customs clearance and transport disruption may require additional time. Contact us before ordering if you have an essential delivery deadline.
Where do you deliver, and can I choose a pickup point?
Available delivery destinations and options are shown at checkout. Pickup-point delivery is available only where offered or separately confirmed.
Please provide an accurate business name, address and contact number, and arrange for someone to receive the goods.
Reasonable additional costs caused by an incorrect address, missed collection or unjustified refusal may be charged to you. These are separate from the normal shipping fee and are not charges for split shipments.
What should I do if a parcel is delayed or only part of my order arrives?
First, check your shipment updates. Other products may have a separate tracking number or may still be awaiting dispatch. With an account, every shipment is listed on the order in My Account.
If a shipment has passed its estimated delivery time, tracking shows a delivery you have not received, or you cannot locate the remaining items, contact us with your order number and any relevant tracking details.
We will investigate with the fulfilment location and carrier. Where goods are lost or cannot be supplied, we will arrange an appropriate replacement or refund, subject to the circumstances and your applicable rights.
Do not wait for the rest of your order to report damage, an incorrect item or a shortage in a parcel already received.
Ordering from outside the EU
Do you deliver outside the EU?
Yes. We supply businesses outside the EU, for example in the UK, Switzerland, Norway and the USA. Orders are shipped with FedEx, and the shipping cost is calculated at checkout so you can pay straight away.
If shipping to your address cannot be calculated automatically, checkout offers a quote request instead. We reply with the total including shipping, and you pay by card using the link in our email.
Which FedEx services can I choose, and what does the price include?
At checkout you can choose FedEx International Economy, or FedEx Regional Economy where that is the economy service for your country, and the faster FedEx International Priority.
The price is based on the weight of your order and your delivery address. It includes freight, fuel surcharge, any remote-area surcharge, and the packing and handling of your shipment.
Who pays import duties and taxes?
You do. International orders are delivered on DAP (Delivered at Place) terms: import duties, import VAT and other taxes in your country are paid on arrival, together with any clearance fee the carrier charges for paying them on your behalf.
These charges are set by your authorities and the carrier and are not included in our prices or the shipping cost. Please check the expected import costs with your customs authority or broker before ordering.
Do I need an EU VAT number?
No. Businesses outside the EU, including in the UK, Switzerland and Norway, can order without an EU VAT number. Enter your company details at checkout.
Goods delivered outside the EU are invoiced without EU VAT as an export, where the conditions are met.
Which customs details should I provide?
At checkout, enter your customs number for import if you have one: your EORI number in the UK, your UID (CHE-…) in Switzerland, your organisation number in Norway or your EIN in the USA. It is saved to your account for your next order.
Your invoice works as the commercial invoice for customs. It shows the HS code and country of origin of each product, your customs number and our EORI number, which helps the carrier clear your shipment without delay.
Can a business outside the EU have goods delivered to an EU address?
No. Orders from businesses outside the EU must be delivered to an address outside the EU. A delivery to an EU address must be ordered by a business with a valid EU VAT number.
Who checks the import rules for my country?
You do, as the importer. Before ordering, check what your country requires to import and resell the products, such as import registrations, permits, product notifications or local labelling.
A product appearing in our catalogue is not confirmation that it may be imported into every country. If you are unsure about a product, contact us before ordering.
Claims, returns and refunds
What should I do if products are damaged, incorrect or missing?
Inspect each delivery promptly. Report visible damage, incorrect products or shortages without delay and within 3 business days of receiving the affected shipment.
Email support@ecosupplements.eu or use the Contact button on your order in My Account. Include your order number, the affected products and quantities, and a description of the issue, with photographs of the goods, packaging and shipping label, plus batch or date details where relevant and reasonably available.
Where possible, record visible transport damage with the carrier at delivery. Keep the affected goods and packaging for inspection.
If a defect could not reasonably have been discovered during the initial inspection, report it promptly after discovery. The 3-business-day window does not apply to genuinely hidden defects.
Do not resell potentially unsafe goods. Do not return or dispose of affected stock before receiving instructions, unless immediate action is required by law or necessary for safety. Nothing in this process excludes mandatory rights.
Can I return or exchange products that I no longer need?
Wholesale orders are not supplied on a sale-or-return basis. We do not offer a general 14-day change-of-mind return period, stock rotation or automatic exchanges for unsold or over-ordered products.
Defective, damaged or incorrect goods are handled through our claims process. Any other return or exchange requires our prior written agreement.
Always contact us before sending goods back. We will confirm the correct return address and instructions. Returns from outside the EU must be declared to customs, so we will also tell you how to send them.
How are refunds and replacements handled?
For a justified claim, we will arrange an appropriate remedy, such as replacement, refund or an agreed credit. Where we are responsible for the issue, we cover reasonable return costs for any return we require.
Refunds are normally made through the original payment method, and you receive a credit note for each refund. Store credit is used instead only with your agreement. Your bank or payment provider may require additional processing time.
If we cancel the entire order before dispatch, we also refund the shipping fee. A partial product refund does not automatically refund the shipping fee where the rest of the order is delivered, unless required by the applicable remedy or law.
Can I change or cancel an order?
Contact us immediately with your order number and the change you need. Before acceptance, you may withdraw your order by notifying us.
After acceptance, cancellation requires our agreement or a legal right to cancel. Once picking, packing or dispatch has started, we may be unable to stop the order.
Any reasonable, non-recoverable costs proposed for an agreed voluntary cancellation will be explained and agreed with you. Refusing delivery does not itself cancel an order.
Product information and resale
Will the products have labels in my local language?
Not necessarily. Products are normally supplied in the manufacturer’s original packaging, and labels and detailed product information may be in English or other languages.
A translated website does not mean that the physical products will carry labels in that language. Translation, supplementary labels and market-specific preparation are not included unless expressly agreed in writing.
If you require a particular label language, obtain our written confirmation before ordering.
Who handles local labelling and resale requirements?
Before ordering, check the requirements for receiving and reselling the products in your intended market, including your country’s import requirements if you are outside the EU. For the activities under your control, you are responsible for required registrations, product notifications, local-language labelling and compliant advertising.
Complete these requirements before the relevant activity takes place. A requirement that applies before shipment or receipt cannot be postponed until retail sale.
We remain responsible for the requirements applicable to our own wholesale activities, including the food information we must provide. Catalogue availability does not confirm that a product is ready for retail sale in every country.
See our B2B Terms & Conditions for the full allocation of responsibilities.
Can I request a specific shelf life, formulation or batch?
Yes. Contact us before ordering with your requirements, or add them to a quote request. Remaining shelf life and other product details may vary by product and batch.
Any specific label language, formulation, batch or minimum remaining shelf life must be confirmed by us in writing to form part of the order.
Unless stated in an offer or agreed in writing, we do not promise a fixed number of remaining months. Our obligations concerning product quality and suitability still apply.
What happens if a product is unavailable?
Orders are subject to availability. If an item cannot be supplied, we will contact you about an alternative, later delivery or refund, as appropriate.
We will not replace it with a different brand, flavour, size or materially different product without your agreement.
Can I get a catalogue or price list?
Yes. Wholesale prices are shown on the site for everyone. Customers with an account can also download our full price list under Downloads in My Account: an Excel file with EAN, brand, name, price excluding VAT and stock, updated daily.
If you cannot find it in your account, or need a list for particular brands or categories, email support@ecosupplements.eu. Prices and stock may change, so check the details when placing your order.
Do you offer private label or white label products?
Not at the moment. We focus on wholesale distribution of established brands.
Can you help with technical integrations?
Our daily-updated price list is often enough to import products, prices and stock into your own system. For anything more, email us with the platform you use and the integration you need. Our team will review your request and explain the options available.
Specific integrations, data feeds or custom services are not included automatically and must be confirmed separately.
These answers should be read together with our shipping, payment and policies page and our B2B Terms & Conditions. For a question about your particular order or purchasing requirements, please contact our team before ordering.
